How to create appointments in the Calendar tab, appointment details

Follow these simple steps to create an appointment for a client in the Calendar tab:

In the Calendar tab, either left-click on an open time slot or click the "New appointment" icon at the top right of your screen.

Enter the following details:

  • Service

    • You may add up to 5 services. To add another service, click the + icon at the bottom of the appointment form:

For appointments containing multiple services, clients will only receive one reminder, showing the total duration of the appointment with the list of the services.

The services assigned to the person whose calendar you are currently viewing are listed at the top, followed by all other services.

If the selected service requires the client to answer a survey, you can manually insert the answers here:

  • Duration

  • Price

  • Payment method

  • Requested amount

  • Personnel

    • By default, the appointment will be assigned to the personnel whose calendar you are currently viewing; you may change your selection at any time.

    • You can access the personnel's calendar by clicking the personnel icon.

If the client specifically asked for a staff member, you can check the box “Requested by client”, which will add a star icon to the appointment ("Preferred Personnel Selection" setting must be enabled).

  • Resource

    • If your chosen service requires the use of a resource, you must select a resource.

    • You can access the resource's calendar by clicking the resource icon.

  • Date

  • Time

  • Client

    • Search by first and/or last name. As you enter data, a list of existing clients will appear.

    • If you are booking the appointment for a new client, fill in the required fields. The client will be added to your records automatically.

  • Additional request from client (visible to client)

    • You can add additional requests or comments from your client here; this information will be included in the confirmation email sent to your client.

  • Options

    1. Request client confirmation: a message will be sent to the client requesting their confirmation; the appointment will be created with status "Request awaiting client's approval". Once confirmed by the client, the status will change to "Approved".

    2. Approve without client confirmation: this is the default option; the appointment will be created with status "Approved" and the client will receive a confirmation message.

    3. Do not send a message to the client: select this option if you do not want your client to be notified; this can be relevant if the client has already confirmed the appointment with you and wants you to create it on their behalf.

  • Quick Note

    • You may add additional notes or comments; these notes won't be visible to the client.

  • Appointment notes

    • These are notes which will be added to the client's profile.

At the bottom of the appointment window, you can see the date/time of the appointment creation and its most recent modification, with the name of the person who performed the action.

Appointments are configured based on the booking rules of the business and the service at the time the appointment is created. This means that if you edit booking rules, the changes will only apply to new appointments (i.e. those you create from the moment you make the edit).
