How to add a new client

There are 3 ways for a client to be added to your Booxi account:

  1. The client books online

    1. Whenever a new client creates a booking online, a new client file will be created in your account.

  2. You book an appointment

    1. Whenever you manually create a booking from the Calendar tab), a new client file will be created in your account.

  3. You manually create a new client file

To do so, follow these steps:

  • Go to the "Clients" tab

  • Click the "Add a new client" option shown below

  • Enter the client's first and last name, then click "New"

  • Enter additional client details in the "Client details" section (optional)

Note about client profiles

When a booking is created or updated, Booxi determines whether to associate it with an existing client or create a new client profile. The system will attempt to find a match based on the following combinations:

  1. Match by External Customer ID
    If an external customer ID is provided, Booxi will first try to match the client using that ID.
    Example: A cegid_y2 ID was set when the booking widget was initialized.

  2. Match by Full Name and Email
    If the client’s full name (first and last name) and email address both match an existing client record, Booxi uses that profile.

  3. Match by Full Name and Home Phone Number
    If the full name and Home Phone number match an existing client record, Booxi uses that profile.

  4. Match by Full Name and Mobile Number
    If the full name and Mobile Phone number match an existing client record, Booxi uses that profile.

If no match is found, a new client profile will be created using the information from the booking.

If a match is found, Booxi automatically fills in any empty client fields (such as email, phone, or address) using the data from the appointment.
