How to create/edit message presets, send messages and view the message history related to a client or appointment

To activate this feature, contact your Booxi representative.

While your clients who book with you will receive regular communications (appointment confirmations, reminders, etc.), it may be sometimes necessary to communicate with them directly. This can be useful if ever you must quickly notify a client of a change in schedule or service, if you want to obtain information from your client, etc.

How to create/edit message templates (i.e. presets)

When sending a message to a client, you can either use a preset or craft a custom message.

You can create presets from the Calendar tab or from the Clients tab. This section will show you how to do it from the Calendar tab.

  1. Right-click an appointment, then select "Notify Client".

  2. In the Preset Message section, click the "+" icon shown below:

  3. Fill out the preset's details (title and content).

  4. When ready, click "Save"; your preset is now ready to use.

To edit a message preset, simply click the edit icon shown below:

You can also delete the preset from the edit window.

How to send a message from the Calendar or Clients tab

Calendar tab

Follow these steps to notify a customer from the Calendar tab:

1- Right-click an appointment, then select "Notify Client".

2- In the window, enter the following details:

A) Choose how to notify your customer: by email, SMS or call

  • The Email option will not be displayed if there is no email address associated to the client.

  • The SMS option will not be displayed is there is no mobile phone number associated with the client.

  • The SMS option does not allow your client to answer back, it is only a one-way communication.

  • The call option does not actually call or send a voicemail to the client. Instead, it simply serves to take note of your conversation with the client.

*SMS delivery is not available in the following countries: Oman, Niger, Ghana, Saudi Arabia, Senegal, and Zimbabwe.

B) Choose whether to craft a custom message or select a preset (if none exists, you may create one)

3- Write your message and when ready, click "Send"; your client will instantly receive the message in their inbox (Email) or on their smartphone (SMS).

A message icon is shown in the bottom corner of appointments for which you sent a message.

You may view the message history linked to the appointment by clicking on "Appointment Messages" shown below:

Clients tab

Follow these steps to notify a customer from their profile in the Clients tab:

  1. In the Clients tab, access the profile of the client you want to notify.

  2. Click on "Notify Client", as shown below:

  3. Follow steps 2 and 3 outlined in the previous section.

You may view the complete message history of a client by selecting "Message History", as shown below:
