How to Integrate Lightspeed Retail with Booxi

Step 1 – Setup your Lightspeed module

In order to use booxi with Lightspeed Retail, you must setup the Lightspeed module in booxi, using your Lightspeed credentials (email and password).

  1. Sign into your booxi account.

  2. From the main menu located on the left side of the page, click on My Business.

  3. Click on Modules at the bottom of the section list.

  4. Locate the Lightspeed module in the list and click the switch to turn it on.

  5. Click on Sign-in to Lightspeed.

  6. A pop up will ask for your Lightspeed credentials (email and password) used to Login your Lightspeed account. If valid, booxi will display your account number and a choice of shops and registers. If not valid, and error message will be displayed.

7. Select the Associated Shop for which you want to manage appointments.

8. Select the Preferred Register for this computer, with which the sales will be created.

9. Now select the Tax Category and Default Tax Class that best define your labor sales tax.

10. Click Save and you are done.

Step 2 – Associate a service to a Lightspeed sale item

  1. From the booxi main menu located on the left side of the page, click on Services.

  2. Select one of your services from the list.

  3. Click on Service Details.

  4. At the top of the Service Details form, you should see a selection of sale items (Link with Lightspeed). Choose the associated item that should appear in a sale when this service is given.

5. Click on Save to keep your changes or Undo to cancel.
6. Repeat each step to link all your services to each item within Lightspeed. If you do not see the "Link with Lightspeed" module from the service details menu, it is because your Lightspeed module has not been activated.

Step 3 – Associate Personnel to Lightspeed Employees

  1. From the booxi main menu located on the left side of the page, click on Personnel.

  2. Select one member of your personnel from the list.

  3. Click on Personnel Details. 

  4. At the top of the Personnel Details form, you have the option to Link Personnel with Lightspeed. Choose the associated employee that should appear in a sale when this member of your personnel provides a service.

5. Click on Save to keep your changes or Undo to cancel.

6. Repeat each step to link all members of your personnel to employees within Lightspeed. If you do not see a selection of employees, it is because your Lightspeed module has not been activated.

Step 4 – Create a Lightspeed sale from a booxi appointment

  1. From the main menu located on the left side of the page, click on Calendar.

  2. Select an appointment.

  3. Right click on the appointment for which you want to make a sale and select the option New Lightspeed Sale.

4. The service and member of your personnel providing the service will be set with the appointment details by default. This may be changed if required.

5. The Client information will be set to the appointment’s client details. If booxi could not find a client match in your Lightspeed customers, a new client will be created within Lightspeed

6. You may change the default Register in which the sale will be created.

7. By default, the employee creating the sale is the current booxi user, you may change the employee selection (Sold by).

8.Click on Create Sale to create the sale in Lightspeed and change browser window to complete the sale using Lightspeed.

Step 5 – Create a work order in Lightspeed from a booxi appointment

** Due to API limitations, Lightspeed doesn't allow an integration to create a new workorder. These steps will simply push client info to a new work order but not the service provided. 

  1. From the main menu located on the left side of the page, click on Calendar.

  2. Select an appointment.

  3. Right click on the appointment for which you want to create a work order and select the option New Lightspeed Work Order.

4. If the customer is already link between Lightspeed and booxi all you have to do is to click on New Work Order. If the customer doesn’t exist in Lightspeed, the option Add a new customer in Lightspeed appears. Click on New Work Order.

5. Complete the Work Order within Lightspeed.

Step 6 – Import Your Lightspeed Customers in booxi

  1. From the main menu located on the left side of the page, click on the tab Client.

  2. Click on the Options Icon

  3.  Select " Import from Lightspeed. "

4. From within the pop-up, click "Import Customers" and you're done!

⚠️Important Note:

We recommend importing your client list from Lightspeed at the early beginning.

If you have duplicates in your client list in Lightspeed, it will be imported in Booxi as well.

Once you've imported your client list from Lightspeed and you decide to import it again later, only clients that have not been imported will be imported in Booxi.

Also, please note that there is no sync of customer information from Lightspeed to Booxi.
