Basic info

  • Watch this short tutorial to understand the basics of the Booxi/Lightspeed integration:

  • Booxi hosts your appointments and group events. To link these events in Lightspeed, you must manually create a sale from the target appointment/group event in Booxi.

    • If you want Booxi to automatically trigger the creation of sales in Lightspeed, you must be integrated with Stripe in order to take online payments. If so, activate the "Online payment" setting at the bottom of the Lightspeed configuration window, and ensure your services' payment method are set to "Online booking". For more info, contact your Booxi representative.

How to create a Lightspeed sale from an appointment

To create a sale from an appointment in Booxi, follow these steps:

  1. In the Calendar tab, right-click an appointment and click "New Lightspeed sale".

  2. Fill out the below form:

    1. Personnel: the staff member that provided the service. The list of members shown in the dropdown are populated from the list of Lightspeed employees.

      1. If the Booxi staff member is not yet associated to an employee in Lightspeed, you'll have to choose another employee (that exists in Lightspeed). For this reason, we suggest to associate your personnel to Lightspeed employees beforehand.

    2. Service

      1. To learn how to associate your services to Lightspeed non-inventory items, see here.

        1. If your service is associated to a Lightspeed non-inventory item, the name of that item will be listed here.

        2. If the service is not associated to an item in Lightspeed, the name of the service will be listed here; in this case, the service will simply be included in the sale description.

    3. Client: the recipient of the service.

      1. To learn how to import Lightspeed customers into Booxi, see here.

        1. If the client exists in Booxi (imported from Lightspeed), their profile will be preselected.

        2. If the client does not exist in Lightspeed, you will have to choose whether to create the client in Lightspeed or create the sale without an associated client (if you choose this option, you'll have to associate a customer to the sale in Lightspeed).

    4. Register: the register at which the payment will be processed.

    5. Sold By: the staff member that created the sale

  3. When complete, click "Create sale".

Once the sale is created, you'll be redirected to the sales page on your Lightspeed account. From there, you can perform edits or make any relevant additions to the sale. You may also take the payment.

All appointments that were created as sales in Lightspeed will be marked with a $ icon.

How to create a Lightspeed sale from a group reservation

To create a sale from a group reservation in Booxi, follow these steps:

  1. Click anywhere in the rectangular box associated with a client.

  2. Click on the top bar shown below, then select "New Lightspeed Sale"

  3. Follow the instructions outlined in step 2 of the previous section.

All reservations that were created as sales in Lightspeed will be marked with the $ icon:

How to create a work order from an appointment

You may also create work orders in Lightspeed from your Booxi appointments:

  1. In the Calendar tab, simply right-click an appointment and click "New Lightspeed work order".

  2. You will be redirected to your Lightspeed account, and prompted to fill out the work order information:

Due to API limitations, the action of creating a work order from Booxi simply populates the appropriate client info as opposed to creating the work order with all relevant details included; the work order information must be manually entered in Lightspeed.

All appointments that were created as work orders in Lightspeed will be marked with a wrench icon:
