How to synchronize an external calendar with the Booxi calendar

Booxi allows you to synchronize your external calendar with your booxi calendar. This feature can be useful in the following cases:

  • You are no longer using your current external calendar service and want to ensure that all existing events are synced to Booxi's calendar before making the switch.

  • You are using an external calendar AND Booxi's calendar at the same time; you want to ensure all events in your external calendar are reflected in Booxi; ongoing.

This option is displayed in the profile of personnel of type “Personnel with calendar” that do not have a personal Booxi account. When a staff member is invited to join Booxi (i.e. to access their own personal account), this option will disappear from their profile. However, the user himself will be able to see it in his own account.

How it works

When you set up the synchronization, every future event created in your external calendar will appear in your Booxi calendar as a busy time slot (including those that existed previously). This will ensure that during the busy time slots, clients won't be able to book you nor staff schedule you.

This is a one way sync: your external calendar events will be added to your booxi calendar, but your booxi calendar events will NOT be added to your external calendar.

Time slots added through the synchronization aren’t considered as “real” appointments in booxi, so they won't generate automatic reminders.

How to do it:

  1. Navigate to the "Personnel" tab

  2. Select your profile

  3. Click "Booking Rules"

  4. Scroll down to the "External Calendar Sync" option, and click the calendar icon.

  5. Select a calendar service, then enter your credentials.

  6. Click 'Allow'
