You can manage staff time off and unavailability in different ways, depending on your business use case and the work schedule type of each staff member:

  • If the staff's work schedule type is set to "Open Business hours", you can either temporarily change the type to "Weekly work schedule" and edit the schedule appropriately (see section below) OR create busy time slots in the calendar tab.

  • If the staff's work schedule type is set to "Weekly work schedule", you can either edit the schedule appropriately or create busy time slots in the calendar tab. To edit a work schedule, follow these steps:

    • Go to the "Personnel" tab > {select a staff profile} > Work schedule

    • Click the options icon, then "Edit".

Example:

Your staff's work schedule is as follows:

  • Effective period: January 1, 2025 - December 31, 2025

    • Monday: 9:00 AM - 5:00 PM

    • Tuesday: 9:00 AM - 5:00 PM

    • Wednesday

    • Thursday: 9:00 AM - 5:00 PM

    • Friday: 9:00 AM - 5:00 PM

    • Saturday

    • Sunday

  • You receive notice that the staff member will be away for 2 weeks between July 1 - July 14 2025.

  • As a result, you will need to do the following:

    • Edit the existing work schedule to end on June 30 2025.

    • Create a new schedule for the period of July 1 - July 14 2025, not entering any hours; this represents the time off.

    • Create a new schedule from July 15 - December 31 2025.

  • If the staff's work schedule type is set to "Calendar", simply delete the staff's available time slots during the times they are away or unavailable.

Alternatively, if your staff member's time off and unavailability are sourced/generated from an external calendar, you can sync their calendar with Booxi's such that every future event created in their external calendar will appear in their Booxi calendar as a busy time slot.
