How to track performance using Booxi's metric reports

Appointment Status, Booking source, Occupancy Rates, Resource Occupancy, Personnel Usage, Service Booking and Event Group Booking reports

Booxi's metric reports provide useful data to track and measure your business performance. This article explains what metric reports exist, the data contained therein, and how to export them.

How to export a metric report

To export a metric report, follow these steps:

  1. Navigate to the "Calendar" tab

  2. Click the options button [⋮] in the top right corner of the screen

  3. Select the Metric Report

  4. Set a date range

  5. Select the metric of your choice

  6. Click Export

  7. Once the report download is complete, open the file in a program that can support CSV files (e.g. Excel, Google Sheets, Numbers, etc.)

Metric reports

Here are the different metric reports Booxi supports:

Appointment Status

This report shows the amount of appointments per date, for each of the following statuses: Approved, Client arrived, Completed, Staff Cancelled, Client Cancelled and No-Show. The status cells reflect the sum of all relevant appointments for the given date. For more information on appointment statuses, click here.

For appointments that span 2 days (e.g. overnight), the appointment counts towards to the date it started on.

  • Event Date

  • Store Number

  • Confirmed Appointment (i.e. Approved)

  • Client Arrived Appointment

  • Completed Appointment

  • Staff Canceled Appointment

  • Client Canceled Appointment

  • No Show Appointment

  • Total Bookings

Appointment Booking Source

This reports shows the number of appointments booked online vs offline.

  • Event Date

  • Store Number

  • Booked Online

    • Appointments created by the client while booking online.

  • Booked Offline

    • Appointments created by a Booxi user on behalf of a client.

  • Total Bookings

Appointment Occupancy Rates

This report gives you insight into the daily efficiency of your business by comparing your Operation Hours, Scheduled Hours, Booked Hours and Serviced Hours.

  • Event Date

  • Store Number

  • Operation Hours

    • Number of hours that your store is opened, based on business open hours

  • Scheduled Hours

    • Sum of all personnel available hours, based on staff work schedule and available time slots (created from the staff's calendar)

  • Booked Hours

    • Sum of appointment hours booked

  • Serviced Hours

    • Sum of appointment hours whose status is either "Approved" or "Completed"

  • Total Bookings

    • Sum of all bookings

Appointment Resource Occupancy

This report allows you to analyze how much your resources (such as rooms and equipment) are being used during a given date range. A row is generated for each resource for each date within the chosen date range.

  • Event Date

  • Store Number

  • Resource ID

  • Resource Name

  • Operation Hours

    • Number of hours that your store is opened, based on business open hours

  • Scheduled Hours

    • Sum of all resource available hours, based on resource availability schedule

  • Booked Hours

    • Sum of appointments hours booked that include the relevant resource

  • Serviced Hours

    • Sum of appointment hours (which include the relevant resource) whose status is either "Approved" or "Completed"

  • Total Bookings

Appointment Personnel Usage

This report gives you insight into the efficient usage of your personnel. A row is generated for each staff member for each date within the chosen date range.

  • Event Date

  • Store Number

  • Staff ID

  • Staff Name

  • Operation Hours

    • Number of hours that your store is opened, based on business open hours

  • Scheduled Hours

    • Number of available hours, based on staff work schedule and available time slots (created from the staff's calendar)

  • Booked Hours

    • Sum of appointment hours booked

    Serviced Hours

    • Sum of appointment hours whose status is either "Approved" or "Completed"

  • Busy Time Slot Hours

    • Sum of busy time slot hours (created from the staff's calendar)

  • Total Bookings

Appointment Service Booking

This report gives insight into your services. A row is generated for each service for each date within the chosen date range.

  • Event Date

  • Store Number

  • Service ID

  • Service Name

  • Booked Hours

    • Sum of appointment hours booked

  • Serviced Hours

    • Sum of appointment hours whose status is either "Approved" or "Completed"

  • Currency

  • Subtotal

  • Revenue Booked (tax excl)

    • Revenue from booked appointments, excluding tax

  • Total Revenue Booked (tax incl)

    • Revenue from booked appointments, including tax

  • Subtotal Revenue Serviced (tax excl)

    • Revenue of appointments whose status is either "Approved" or "Completed", excluding tax

  • Total Revenue Serviced (tax incl)

    • Revenue of appointments whose status is either "Approved" or "Completed", including tax

  • Booked Online

    • Appointments created by the client while booking online.

  • Booked Offline

    • Appointments created by a Booxi user on behalf of a client.

  • Total Bookings

    • Sum of all bookings

Event Group Booking

This report gives insight into group event reservations; the size of the event, the number of distinct reservations, the number of clients who actually attended, associated revenue, etc. A row is generated for every group event.

  • Event Date

  • Store Number

  • Event Id

  • Event Name

  • Event Time

  • Nb Reservation

    • Number of distinct reservations in the group event

  • Nb Attendee

    • Number of attendees in the group event

  • Capacity

    • Number of attendees the group is configured to accept.

  • PC Booked

    • Attendance rate (Number of attendees/Capacity)

  • Nb Present

    • Number of attendees in the group event whose client presence is set to "arrived"

  • Currency

  • Subtotal Revenue (tax excl)

  • Total Revenue (tax incl)
